Antaeus Travel Group is seeking a professional and welcoming Reception & Administrative Support individual to join our team. As the first point of contact for our company, the ideal candidate will play a crucial role in representing our brand, ensuring smooth daily office operations, and providing high-level administrative assistance.
Areas of Responsibility
1.Reception & Visitor Management
- Front Desk Operations: Serve as the professional face of the company, ensuring a warm and efficient welcome for all visitors.
- Telephony Operations: Manage and operate the company’s central telephone center, handling a high volume of incoming calls.
- Call Distribution: Efficiently screen and direct calls to the appropriate departments or individuals, ensuring callers reach the right contact promptly.
- Inquiry Handling: Provide initial information to callers and visitors, addressing general inquiries with clarity and professionalism.
- Message Management: Take accurate and detailed messages when necessary and ensure they are delivered to the relevant team members promptly.
2. Administrative & Office Support
- Correspondence Management: Oversee the distribution of incoming and outgoing mail, couriers and the general email inbox.
- Office Organization: Maintain a clean and organized reception area and ensure meeting rooms are prepared and available for appointments.
- Document Control: Manage physical and digital filing systems, ensuring all documentation is archived and easily retrievable.
- Supplies Procurement: Monitor and order office and kitchen supplies to ensure uninterrupted daily operations.
- Operational Support: Assist various departments with administrative tasks, such as data entry, document scanning,and basic report preparation.
Required Knowledge, Skills & Abilities
- Experience: Previous experience in a reception, secretarial, or administrative role, specifically handling a multi-line telephone system, will be highly valued.
- Education: High school diploma required; a degree in Office Administration or a related field will be considered an asset.
- Languages: Fluency in both Greek and English (written and verbal) is mandatory.
- Software: Proficiency in MS Office (Word, Excel, Outlook).
- Professionalism: Exceptional communication skills with a polite and professional demeanor, both in person and over the phone.
- Soft Skills: High level of reliability, confidentiality, and attention to detail.
- Methodology; Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
